How do people keep track of their girls?

Having ten girls now, with another in the works, I decided to make a spreadsheet of the various things, so I could keep track of my body types/bust sizes, skin tones etc. Then I decided to put information about their wigs, clothes, eyes, faceups and stuff.

 

I know many people have more girls than me, not to mention far more accessories, floating heads etc, so how do people stay on top of it all? Does anybody else spreadsheet? Do you just have it all in tubs (I recently got three under-bed tubs to store spare clothes/parts/accessories) or what.

I only have a few girls with their default outfits, wigs, and accessories so keeping track is a no-brainer right now. With that said, I do intend on making a spread sheet as well. I use spreadsheets to keep track of my r:c car and helicopter stuff and I'm planning on making use with one for my Final Fantasy collection this winter as well.

I know what you mean about trying to keep track of things about your girls as I do the same thing. So far, all I have is a single sheet of paper with the date I purchased my girl, her name, how much I paid for her, where or who I bought her from and then any breakdown of parts needed to make her. For example:

 

12-4-11 = Mashiro, $750 total, clothing/ears/tail $150 and body/head/eyes $600 from Rochelle @ Kerby Lane

 

This way I can keep tabs on their "birthdays" as well as the total I spent on them and who helped me out.

 

I don't go into as much detail as you on their wigs/eyes/clothing and such tho. And as far as faceups go, I remember all of them that got redone or customized because I've only used 3 people to do that.

I really *should* do spreadsheets, especially for my clothing. Like you, I have those under-bed containers to hold all their clothes and accessories. But with clothing, I can rarely recall what I paid for things so just having a list of what I own would be all I'd have. As for floating heads or bodies, those really don't fly in my house. I can't stand having a floating head because I feel really bad for it and want to give it a body. The only bodies I have here are the old DD1 version ( which I HATE ) and a pieces parts MDD body that I use for repairing anything my original MDD bodied girls might break.

 

Thanks for reminding me about doing this tho as I really have meant to do a spreadsheet on at least my girls.

I don't put prices down. I do have all receipts in email, but I fear consolidating all that information... I have a vague idea how much I've spent, but I'd prefer it to stay vague. Knowing a solid number will make me very sad.

 

I have two floating heads at the moment; one is waiting for a body to arrive, and another I've not yet decided what body to give. I'm also somewhat out of space for more girls so I'm reluctant. I may have to part with at least one of my floaters. >.<

I keep a spreadsheet for my girls complete with body/bust size, faceup, wig, etc including price. (Which hurts to look at).

 

As for other things, Volks outfits I mostly try to keep track of using my MFC collection (Which can be hard when it comes to SD/MSD omukae outfits etc)

 

And other random stuff, I try to keep original photos in a dropbox gallery, especially for things bought from YJA etc.

I keep a spreadsheet too, with the following information on it:

 

NAME, SCULPT, BOUGHT FROM, DATE RECD, NEW/USED, REG ED/LTD ED, FACEUP INFO, COMMENTS.

 

If I buy a head and body parts separately, I keep a different line for each part.

 

I don't put the prices on the list, but I keep my Paypal receipts so I can look up that info if I need it. I also keep a list of dolls I have sold, with an additional comment on who I sold it to. I'm not attached to dolls I've sold, so I don't feel a pang of regret looking at the list.

 

Billy, I can't share bodies between my dolls either! I've tried, they just won't share.

 

As for their clothes, they are stored in hatboxes and plastic drawer units. They share a lot with my resin BJDs, though most of them have at least one outfit that is just for her/him. I don't like them to share clothes either, because I want each to have a unique look and style. Plus I would like matching school uniforms for all of them, too.

I have only four, but I've had to keep track of clothing. I keep the outfit sets together, but I've taken individual photos of all the parts of a set (socks, skirt, top, etc) so I can browse through them at any time and figure out what outfits I can assemble. Otherwise I might forget that I have short dark blue socks, for example.

I have a spreadsheet for my BJDs and since I own only two DDs, I put them together with BJDs. My spreadsheet has their names, companies, skin tones, measurements and birthdays. I still haven't got around to add wigs and shoes that I own.

You guys are making me feel completely unorganized. XD I started an account on MFC recently to keep track of stuff, but that's about it.

I've coded up a small app backed by a database where I can enter information and pictures of the girls and their outfits and I can search using keywords (such as colors, styles etc) and since I store things in different locations around the house I can also see where the item I'm looking for is located. I try to keep things organized, otherwise I'd have no idea where things would be since I can be pretty forgetful.

No girls yet, but I do use a spreadsheet for my wishlist. It's helpful as I've already decided on mods I want to make, custom faceups, etc so it doubles as a to-do list. . . and a budget, once I add in prices for everything. (I've been putting this off as I'm scared to see the total. I'm sure I'll look like this: )

I'm glad I'm not alone in spread-sheeting. ^^; I find it handy for the management of my girls, and it seems I'm far from the first person to go this route.

 

An app sounds potentially useful, though I don't think I'd want to deal with data management on my tablet, so I think I'll stick to spreadsheets. Though may add more fields for further data in the future.

 

Thanks for the replies, anyway! Good to know others take the management of their girls' stuff seriously.

I have a suitcase for clothing and delicate bits, and then a bin for materials and supplies. Admittingly, this means I've accidentally dressed my MSDs in SD clothing and vice-versa (which led to an unfortunate end for a sock), but, generally, it works out. Having most everything in one space means I can pack quickly and move them should the occasion rise, be it in a emergency or a upcoming con or meetup.

 

Granted, I'm gonna need another suitcase when I get another girl, because two dolls' worth of stuff barely fits; and it's all pretty squished in there, so the wigs are a bit messy. When I get a DD/SmD, I think I might upgrade and alter a suitcase so it has separate compartments for each girl or size. I want everything to be in generally one space, for the reasons prior mentioned, and for the sake of space. My flat is super tiny. ;_;

I have a physical notebook for general information (skin color, body type, head mold, date arrived/completed, and personality). It's easier for me to open it up if I'm suddenly inspired and not near my computer. However, I am considering backing it up onto a spreadsheet online just in case.

 

I also have a word dobleepent of things I want to buy for my girls, like clothes and wigs, and separate folders on my internet favorites to match the word dobleepent. I know that they'll share clothes eventually out of necessity and limited funds (Suzume is currently in the outfit I originally got for my 01 project head), but I also like planning out what their individual styles are going to be.

I don't have enough girls to warrant a spreadsheet, but I like the idea of organizing who I own, their retail and markey value, and all of my wigs and outfits. The idea of collecting a lot of outfits is exciting and it would be wise to keep track of them . Plus, if I ever sell my dolls, I'd be able to have an idea of what my collection is worth.

Within a couple months of starting this hobby, I realized this was going to require some management to keep track of things as I've done with my other hobbies. Using clothing bits from various outfits to achieve a desired look meant that some kind of tracking had to be developed before I forgot what went with what. Simply noting on small pieces of paper placed in an outfit set package which item was being worn by which doll is ok if I remembered to do it, but my wife's involvement....well, she's a little less methodical.

 

So on the computer, I began a Dollfie dobleepent folder with sub folders of Volks DDs, SDs, & outfit sets owned & wished for. I also have other folders noting Ebay & Doll vendors I frequently buy from that aren't Volks. I made word dobleepents with outfit set pictures which included all information on the outfit (or shoe, boot, etc) that I could locate. Information includes Title, Series (TnK, LPC, DC, WRC, etc), Event, Included items, Release Price, Seller, Price I Paid, Condition, Purchase date, Tracking#, and Received date.

 

Soon I began building a folder immediately at the time an item was purchased or wished. This is a big time saver as the information is readily available!

 

As some of you may know, when Volks USA updated their website, the outfit archive data disappeared for awhile. It showed up again on a Yahoo Store site which had the information current up until the USA site went down for upgrade. That was great for researching older outfit sets! ... but that site resource just recently disappeared leaving a hole that has yet to be filled. MFC's website has a good amount of data on the older sets, but it is not complete. My search results for older outfits has become a trickle of information. I'm hoping Volks makes it available again. I'd even pay a small annual fee to have access to it if that's what it took.

 

My data from MFC is also backed up monthly as a CVS file and converted to Excel. All data is physically backed up to a portable personal drive and on a cloud server. It's not hard to keep up with generating the data if it's done regularly.

 

Physical outfit, etc inventory is kept in plastic "scrapbook" cases made by IRIS, Inc (14 3/8" X 14 3/16" X 3 1/8")and sold in "Michael's" craft stores where I live. The majority are clear, but I use color tinted ones for coding what's inside for some of the dolls. Blue ones are for the SD17 guys, Purple for the YoSD, Pink for the SDMs(MSD), Dark Green for the shoes, Light Green for boots. I also use the larger size for seasonal wear, one for Christmas outfits, another for Fall/Winter outfits with coats. Wigs with their protective cardboard "crates" or plastic containers generally fit nicely in these, so looking at a clear box shows what's in it without handling them.

 

My next project is to make Notebooks with plastic sheet 8X11" pockets. I'll begin printing the dobleepents to store them there. It will make it easier for my wife to find stuff, or to show others what the collection entails.

I have made email chains detailing the Dolls I have and their outfits/accessories. Mostly for insurance purposes. I'm still working on getting pictures of everyone.

I use Evernote, which is a mobile note-taking app. Physically writing down information helps me remember better.

You can create multiple "notebooks," so I have one for each ongoing doll project to detail what I've made/boought, and what I've yet to acquire. I have another one just to keep track of things I've ordered and their shipping status. Then another notebook helps me keep track of items I want to buy and save up for.

I keep the things I'm interested in buying on a spreadsheet.

 

For everything I've ordered and own I use a program I've found online that lets me customize my own collections. Pics, Name, manufacturer, date bought, amount payed ...

I initially got this to catalog my figurine collection, but made a new entry for everything DD related.

Handy to get data from as well but a lot of work to set up nicely.

 

This hobby costs too much, so I like to keep track of things.

This topic has been very useful for me since I now have 3 girls (3 different sizes) to take care of .

I've recently felt the need to keep track of all of their clothes, what fits which size, from which set they belongs...

The spreadsheet idea seems to be the easier, but some clothes are hard to define/describe, so I needed something more visual.

I thought about MFC too, but it looks like there is only volks sets there.

 

So I've created a small web app to help my girls to be more organized, and get a better insight of what lay in their closet :p

It allow me to get a quick view of each item I have, from which set they come from, what they fits and so on...

I've a ton of clothes, so it takes times to register everything, but I now think it's a good idea to do such thing, especially when you've spent a substantial amount of money in it

Well my DDs are boys and I only have 3 but I do collect other dolls. My main hobby is BJDs, I have 20 complete BJDs (they all have their own bodies and fashion style ). I have 8 isuls, 3 azones (waiting for 3 more) and I don't have spreadsheets for them. Somehow, I can remember all their sculpt names, body types and where I bought each item they're wearing like eyes, wigs, clothes, shoes etc.

 

The only thing I keep track of because I usually forget is the date they arrived. I have it on my DoA's profile.
